Type, print, copy and/or shred materials; Scan and manipulate images and documents; Organize files; Deliver and retrieve tests from testing center; Create charts, graphs or reports using data compiled from both internal and external sources; Assist faculty with various computer programs; Answer telephone and deliver messages to appropriate party; Prepare bulk mailings using postal service requirements; Act as an ad hoc secretary for other departments / divisions of the college; Pick up and distribute mail; Greet every person cordially and give prompt assistance; Compose effective and accurate correspondence; Establish and maintain effective working relationships with administrative officials, faculty, other employees, students, parents, vendors and the general public; Define problems, collect data, establish facts and draw valid conclusions; Order supplies on behalf of faculty and staff; Initiate purchase orders and maintenance work orders for Fine Arts and Communications departments; Hire, supervise and evaluate part-time work-study students; Acquire, maintain and update knowledge of administrative and procedural regulations; Complete complex and confidential administrative and educational tasks; Proof and edit documents as necessary; Prepare reports, tests, classroom hand-outs and Black Board materials; Correct minor problems with printers or call service repair; Notify maintenance or technology of any problems that interfere with the instructional environment; Proctor tests when other resources are unavailable; Secure papers with faculty and student personal information; Promptly forward messages to faculty on and off campus; Maintain professional conduct and confidentiality in all aspects of assigned duties; Assist departments in the Academic Studies Division in processing paperwork and creating programs for recital series, workshops, lectures, productions and festivals for the Arts and Communications building including the auditorium, black box theatre and art gallery; Assist with box office and collections for events held in the Arts and Communications building, including ticket design, ticket sales, event reservations and depositing of funds; Assist in developing and mailing out promotional and recruiting material including flyers, brochures, posters, high school recruitment packets and invitations; Assist faculty in the Academic Studies Division in developing, organizing and overseeing special events; Assist in coordinating room, lab and studio set up for various events; Set up reservations for various persons and/or organizations wishing to use facilities located in the Arts and Communications building; Record events in a semi-public calendar in order to prevent scheduling conflicts of facilities located in the Arts and Communications building; Ensure all requests are made in writing within the specified amount of time and forwarded to appropriate staff and faculty for approval
